Administrative Assistant

The USTA is the national governing body for the sport of tennis and is committed to promoting and developing tennis across the United States. The Hospitality Administrative Assistant will support the US Open Hospitality sales, service, and operations team to ensure efficiency in sales processes and deliver a world-class client experience.

Responsibilities

  • Provide support to the hospitality team in client relations, renewal, and retention
  • Manage Hospitality premium ticket package and suite rental contracts: generation, distribution, signature tracking, and organization
  • Liaise and integrate with the US Open Ticket Office to support the hospitality sales process within Archtics; generate invoices, manage payments, receipts, and reports
  • Assist and support the CRM analyst and Solutions Specialist in ensuring optimal sales and operations processes within the US Open CRM (Salesforce) ecosystem
  • Manage the contracting, purchasing, payment, and invoicing of Hospitality vendors via Conga, Concur, and Purchasing
  • Fulfill internal hospitality requests, including for sponsors, broadcast partners, CCO, and CEO
  • Oversee ticket fulfillment and assistance for all clients
  • Respond and/or delegate inbound client requests and issues; assist the hospitality team with the fulfillment of special client requests
  • Support the merchandise operation and fulfillment of suite and club clients
  • During the US Open period, manage the hospitality office
  • Oversee the aggregation, shipping, tracking, and delivery of all US Open Premier parking assets
  • Develop and maintain positive hospitality client and vendor relationships
  • Assist in on-site US Open Hospitality space buildout management and space execution, including liaising with third-party service providers operating within the space
  • Other projects and duties as assigned by the Managing Director, Hospitality Consultant, and Hospitality Team

Skills

  • Bachelor's degree from an accredited college or university
  • Experience in operating at sports team(s) or other live events required
  • Individual must possess a strong work ethic, a positive attitude, and a professional client-facing demeanor
  • Excellent organizational and time-management skills
  • Exceptional written and verbal communication skills
  • Must have capability to remain calm and focused in a high-pressure, fast-paced environment (US Open)
  • Demonstrated ability to be a self-starter who can problem-solve and handle sensitive client matters with discretion
  • Customer-facing experience preferred
  • Familiarity with CRM systems preferred (e.g., Salesforce)
  • Familiarity with Ticketing systems preferred (e.g., Archtics)
  • Proficiency with Google Suite, Excel, Powerpoint, and Adobe Suite preferred
