Job Summary

The Site Scheduler will be responsible for managing project schedules, coordinating site activities, and handling invoicing processes using Procore platform. This role requires strong organizational skills, attention to detail, and proficiency in Procore use.

Key Responsibilities

  • Develop, maintain, and update detailed project schedules in Primavera P6 from project initiation through closeout to ensure timely completion of tasks and milestones.
  • Create and manage Work Breakdown Structures (WBS), activity logic, calendars, and resource loading to support accurate schedule forecasting.
  • Monitor project progress, update schedules based on field input, and perform critical path analysis to identify delays and implement recovery plans.
  • Coordinate site activities and allocate resources effectively to meet project deadlines and contractual milestones.
  • Analyze schedule variances, track float impacts, and provide mitigation strategies to maintain project performance.
  • Oversee invoicing processes, including creation, review, and submission through Procore, ensuring accuracy and timely payment to subcontractors and suppliers.
  • Review subcontractor schedules and pay applications to ensure alignment with project progress and contractual requirements.
  • Generate and distribute weekly/monthly schedule reports, look-ahead schedules, and performance updates to stakeholders.
  • Communicate proactively with project managers, subcontractors, and stakeholders to resolve scheduling conflicts and invoicing discrepancies.
  • Maintain comprehensive documentation of schedules, invoices, change orders, and project communications for transparency and audit readiness.
  • Support earned value analysis (EVM) and assist in time impact analysis (TIA) when schedule changes occur.
  • Provide training and guidance to team members on Primavera P6 and Procore best practices to improve workflow efficiency and reporting accuracy.

Qualifications:

  • Education: Bachelor's degree in Construction Management, Engineering, Project Management, or a related field.
  • Experience: Minimum of 3-5 years of experience in a scheduling or project management role, with experience in construction.
  • Skills:
    • Strong knowledge of Primavera P6 and Procore, including project tools, scheduling, and invoicing features.
    • Proficiency in use of management software and tools (Preferably Procore).
    • Excellent organizational, time management, and attention-to-detail skills.
    • Strong problem-solving abilities and abilities to read and interpret project plans, schedules, and blueprints.
    • Effective communication, interpersonal, and documentation skills.
  • Certifications: Required: Valid driver's license. Preferred: Certified Construction Manager (CCM), OSHA Safety Certification (10-Hour or 30-Hour), Project Management Professional (PMP).
  • Language: Proficiency in both English and Spanish is mandatory.
