Enterprise Strategy (ES) is American Express’ corporate strategy and internal consulting division. ES partners with senior leaders and the Executive Committee to address the company’s most important strategic priorities. The group operates in a dynamic, fast-paced environment, requiring seamless collaboration across a wide range of stakeholders. This position is an integral part of the team and requires a proactive, organized, and resourceful Executive Assistant who can handle a wide range of administrative tasks and confidently navigate a large organization.

Responsibilities

  • Organize and maintain complex calendars for two Vice Presidents using a high level of tact, prioritization, influencing skills, and integrity, including scheduling across multiple time zones
  • Collaborate regularly with the six New York-based Directors to schedule meetings where the Vice Presidents are needed, understand shifting priorities, and support project coordination
  • Coordinate and oversee internal and external meetings, including sending invitations, reserving meeting space, telepresence setup, audio/visual needs, transportation, catering, and preparation of meeting materials
  • Manage long-term calendar planning and ensure leaders are aware of critical meetings, events, and upcoming commitments
  • Make complex travel arrangements and detailed itineraries, including air, hotel, transfers, and meeting schedules
  • Prepare, reconcile, and process expense reports in line with company requirements using Concur, and review direct report expenses routed for VP approval
  • Manage general follow-ups, generate reminders, and track deadlines to ensure timely execution across commitments
  • Partner closely with the Senior Executive Assistant and the MA team to ensure coordination, share updates, and support broader team processes
  • Assist with special projects, team initiatives, and ad hoc support as needed
  • Build and maintain strong working relationships with Executive Assistants and enterprise partners across all band levels

Requirements

  • 5+ years of executive administrative support experience within a large organization
  • Proven track record of supporting senior leaders with a customer-first mindset and strong attention to the executive’s needs and experience
  • Experience supporting global or senior leaders across multiple time zones
  • Ability to operate with a high level of integrity and maintain complete confidentiality when handling sensitive issues
  • Effective verbal and written communication skills, with the ability to clearly convey information and confidently interact at all levels
  • Excellent time management and organizational skills with strong accuracy and attention to detail; able to work flexibly and under pressure
  • Demonstrated ability to manage multiple priorities and execute across multiple initiatives in a fast-paced, dynamic environment
  • Ability to identify problems, evaluate potential solutions, and proactively work toward resolution
  • High proficiency using MS Office (Word, Excel, PowerPoint) and internal AXP tools and systems, including Outlook, Webex, Ariba, Concur, Payroll, SharePoint, and myInfo
  • Strong interpersonal and networking skills to build and maintain effective professional relationships across the organization
  • Ability to interact effectively and diplomatically with executives and Executive Assistants across AXP
  • Team-oriented mindset with the ability to excel in a dynamic, evolving environment
  • Willingness to work in the New York office at least 3 days per week
