Healthcare Recruiter / Scheduling Coordinator - Remote

CareerNation is a fast-growing healthcare staffing firm providing high-quality clinical professionals to healthcare facilities, clinics, and partner organizations. We are looking for a highly organized and motivated Healthcare Recruiter & Scheduling Coordinator to join our team. This role combines recruiting, scheduling, staff coordination, and timesheet/payroll support.

Scheduling/Payroll Experience Required

If you excel in communication, multitasking, and building relationships with healthcare workers, this role is for you.

Pay Rate: $22-$23/hour, room for growth based on performance (# of placements and shifts scheduled).

Job Summary

The Healthcare Recruiter & Scheduling Coordinator is responsible for sourcing and screening candidates, coordinating schedules with active staff, filling open shifts for clients (including high-volume clients with manual scheduling workflows), collecting timesheets, and assisting with payroll processing.

This is a fast-paced, detail-oriented role that requires strong follow-up, excellent communication, and the ability to manage many moving pieces at once.

Key Responsibilities

Recruiting

  • Source, screen, and interview healthcare professionals (CNAs, MAs, LPNs, RNs, etc.).

  • Complete candidate questionnaires and prepare submissions for internal review.

  • Send candidate handoff emails and coordinate next onboarding steps.

  • Maintain an active candidate pipeline.

Scheduling

  • Coordinate and schedule staff for open shifts.

  • Communicate daily with active staff to confirm their availability (days, times, and locations).

  • Fill shifts quickly and accurately based on client requirements.

  • Update scheduling sheets and staffing platforms

  • Maintain clear and timely communication with staff regarding shift confirmations or changes.

Timesheets & Payroll Support

  • Collect weekly timesheets from all active staff.

  • Review timesheets for accuracy and follow up on missing or incorrect entries.

  • Submit completed timesheets to payroll according to deadlines.

  • Assist with basic payroll processing, hour verification, and reconciliation.

General Operations

  • Maintain accurate documentation, trackers, and logs.

  • Provide exceptional customer service to both healthcare workers and clients.

  • Support internal teams with administrative and operational tasks as needed.

Requirements

  • 1–3 years of experience in healthcare recruiting, scheduling, or staffing (preferred).

  • Strong communication and customer service skills.

  • Ability to multitask in a fast-paced environment.

  • Highly organized with strong attention to detail.

  • Comfortable with manual and repetitive scheduling processes.

  • Experience with timesheets or payroll coordination is a plus.

  • Proficiency with scheduling platforms and online tools.

  • Must be reliable, proactive, and responsive.
