About the role:
We’re looking for a capable, organised, and professional CRM, Planning & Client Administration Coordinator to support our senior team and play a key role in how new business is managed from lead through to onboarding.

This is a part-time, fully remote role suited to someone who is confident working with systems and data, but who is also comfortable speaking directly with clients, managing information accurately, and keeping multiple workstreams moving smoothly.

The role goes beyond basic administration. You’ll be trusted to:
- manage CRM data that underpins our sales and onboarding process
- help plan and coordinate client onboarding activity
- act as a professional point of contact for clients when needed

Full training will be provided, but this role requires someone who is naturally organised, communicative, and dependable.

Key responsibilities
CRM & sales journey management
- Maintain and manage the company CRM to a high standard of accuracy
- Input and qualify new leads, ensuring data is complete, consistent, and usable
- Track and update sales journeys so progress is always clear and up to date
- Produce CRM and pipeline reports to support management decision-making

Planning & onboarding coordination
- Support the planning of new client onboarding, including identifying available start slots
- Maintain planning data to ensure onboarding activity is scheduled realistically and efficiently
- Liaise internally to ensure smooth handover from sales into onboarding

Client communication & administration
- Speak with clients by phone in a professional, clear, and confident manner
- Confirm appointments, onboarding details, and next steps
- Provide accurate information and ensure clients feel well looked after
- Support senior managers with structured administrative tasks as required

Process & teamwork
- Follow and maintain agreed processes to support business continuity
- Work collaboratively with a remote team, communicating clearly and reliably
- Take ownership of tasks and follow them through to completion

Skills & experience
Essential
- Fluent spoken and written English (regular professional client contact)
- Confident, professional telephone manner
- Strong organisational skills with excellent attention to detail
- Comfortable working with CRM systems, databases, and digital tools
- Able to manage multiple tasks and priorities in a remote working environment
- Reliable, self-motivated, and able to work independently while being a strong team player
- Lives within a 2hr time zone of the UK

Desirable
- Previous experience in a CRM, sales administration, onboarding, or coordination role
- Good working knowledge of Excel (data input, basic reporting)
- Experience supporting sales teams or client onboarding processes
