Remote Executive Assistant (Operations & Investment-Finance Support)

We are seeking a highly organized, systems-oriented Executive Operations Assistant (EOA) to support a Founder operating across investing, advisory, and strategic growth initiatives. This role is ideal for someone who thrives behind the scenes, enjoys building structure, and takes ownership of operational execution in a fast-paced, high-accountability environment.

Rather than serving as a traditional calendar-only assistant, this role is designed for a proactive operator who can manage workflows, improve processes, and ensure critical business functions run smoothly and efficiently.

This role follows a focused delegation model: in the first month, you will take ownership of 3–5 core operational processes, with responsibilities expanding as trust, autonomy, and performance are demonstrated.

You will work closely with the Founder and leadership team through structured onboarding, documented SOPs, recorded process walkthroughs, and weekly performance check-ins.

Location: This is a fully remote position.

Job Type: Full-Time

Salary: 1,000-1,600 (based on experience)

Requirements

  • 3+ years of experience as an Executive Operations Assistant, Operations Manager, or high-level Executive Assistant with operational responsibilities
  • Strong experience managing workflows, SOP documentation, and process optimization
  • Proven ability to own and execute recurring operational tasks with minimal oversight
  • High attention to detail and strong follow-through
  • Comfortable handling sensitive information in security-conscious environments
  • Strong written and verbal communication skills
  • Ability to prioritize competing tasks and manage deadlines independently
  • Highly organized, structured thinker with systems mindset
  • Proactive problem-solver who anticipates bottlenecks before they arise
  • Strong emotional intelligence and professional judgment

Key Responsibilities

Executive & Email Support

    • Triage and summarize high-priority emails while the Founder retains oversight
    • Organize inboxes using a four-folder system (Action Needed, Follow-Up, If Interested, Read Later)
    • Highlight time-sensitive items, scheduling requests, and critical decisions
    • Draft emails using a “transfer delegation” model (draft → review → send), progressively increasing autonomy
    • Maintain discretion and judgment in a privacy-conscious environment

Calendar & Meeting Management

    • Own meeting scheduling logistics, confirmations, and coordination
    • Manage meeting windows, buffer times, and protected focus blocks
    • Anticipate scheduling needs using an “ideal week” framework
    • Handle logistics such as locations, parking details, and time-zone coordination

Bookkeepind & Financial Admin

    • Support the Founder and investment team with behind-the-scenes operational execution across private equity and/or hedge fund activities
    • Coordinate and maintain internal reporting workflows, including portfolio tracking, capital deployment summaries, and performance monitoring
    • Assist with fund-level financial processes, including expense tracking, reconciliation support, and documentation management
    • Maintain organized records for investment transactions, deal documentation, and due diligence materials
    • Support preparation of internal investment memoranda, financial summaries, and board-level reporting materials
    • Assist with cash management coordination and capital call tracking (as applicable)
    • Work closely with accounting partners or fund administrators to ensure timely and accurate financial reporting
    • Track compliance-related documentation and maintain structured audit trails
    • Manage confidential financial data with strict discretion and security protocols
    • Identify process gaps within investment operations and implement structured improvements
    • Support workflow coordination between legal, accounting, and investment stakeholders
    • Maintain internal dashboards for portfolio performance, KPI monitoring, and reporting cadence
    • Follow documented workflows, including client-specific security requirements
    • Maintain accuracy and consistency to reduce financial admin backlog
